A fuel-injected HR transformation for fast-moving convenience giant

Viva Energy was formed in 2014 following the acquisition of Shell’s downstream business in Australia. Since then, it’s grown into one of the country’s leading fuel and convenience networks, helped by strategic acquisitions like Coles Express and South Australia’s top convenience brand, OTR (On The Run).

In early 2024, Viva faced a major challenge — merging Coles Express and OTR into a single business, with more than 13,000 employees. To support the transition, Viva partnered with Pinpoint HRM to deliver a full-suite Dayforce people technology solution.

But this wasn’t just a simple merger of systems. Viva was creating brand new digital ecosystems and ways of working across the business.

“We had multiple platforms, different awards, a merger to navigate, and a transition deadline to meet — we needed to move fast” says Demi Tacey, General Manager of People and Culture (Convenience and Mobility).

Pinpoint HRM’s role was critical. Our seasoned project manager ensured a focus on “MVP” was maintained to keep the project on track and expertly navigated the complex and shifting business priorities.

Despite major challenges — including delays and resourcing issues — the team delivered phase 1 of the HR tech solution in just 13 months! And the rest of the rollout 3 months later. Since going live, the benefits have been clear:

  • 95% of staff are using the mobile app
  • Store managers are finding it easier to manage shifts
  • There’s been a big drop in paper-based processes
  • Feedback from team members has been overwhelmingly positive
